Library volunteers perform regular library duties, such as cataloguing new acquisitions, cleaning, shelving, tidying the collection, and updating library records, as well as providing support for library users (i.e., Museum members and staff).

Key Responsibilities
  • Process donation offers for the library and assist Museum Registrar in completing necessary forms as well as provide recommendations for accepting offers
  • Process new acquisitions (cataloguing, labelling, shelfing etc.)
  • Re-shelf books and materials
  • Maintain tidiness and order in the library space
  • Ensure adherence to Museum’s Collections Policy and procedures, particularly regarding the library, on handling and use of collections
  • Update Museum Registrar on progress of collections processing
  • Provide Museum Registrar with list of donors and prepare acknowledgement letters
  • Identify and recommend materials that should be added to the library collections (newly published books etc.)
  • Assist library users and ensure they are aware of proper handling and care of library collection and space
Selection Criteria

Skills or experience required for the position.

  • Knowledge and experience in Library or Information Management preferably a bachelor’s degree
  • Organisation and communication skills
  • Can read and write in English
  • Bi-lingual EN-CN as well as ability to read and write simplified Chinese desirable
  • Collaboration skills and ability to be a valuable member of a team
  • Ability to understand and apply policies and procedures
Outcomes/Goals
  • Forms are completed and recommendations for accepting offers are sent to Museum Registrar within three weeks
  • New acquisitions (cataloguing, labelling, shelfing etc.) are processed within a month of acceptance
  • Maintain and update library collection data in Museum’s current CMS
  • List of donors and acknowledgement letters prepared and sent to Museum Registrar one week after completion of processing
  • Reshelving and tidying up completed after each shift
Training and Support Plan
  • Training for using the Museum’s CMS (CatalogIt) will be provided
  • New volunteers will be included in scheduled Staff/Volunteer induction
